Receptionist/​Administrative Assis­tant apprentice

Job description

The Bulwell Academy are seeking to appoint an Apprentice Receptionist/Admin Assistant to assist the Receptionist in providing a responsive and professional reception service to students, staff, parents, and visitors alike and to support our busy administration team.

Responsibilities and accountabilities

· To be the first point of contact for visitors to the Academy and offer a warm welcome to all.

· Ensure that telephone or email messages are responded to in a timely manner by all staff, referring

any customer complaints to the Administration Manager in the first instance.

· To be aware of all safeguarding expectations and reporting any concerns appropriately.

· Ensure the safety and security of the school at all times, making sure that the gates are closed at the

designated times, and entry to the premises are well controlled.

· Monitor via CCTV all gates and exit doors.

· Manage visitor signing in/out and convey Academy information as appropriate.

· Operate the main switchboard, screen calls and action messages in the most appropriate manner.

· Ensure that the franking machine remains fully operational, and deal with all aspects of external and internal post, i.e., sorting, distribution, collecting, franking and recording.

· Maintain a tidy and presentable reception area updating reception notice boards and visitor information stands as necessary.

· Maintain the Outlook calendar for meeting rooms, reporting irregularities to the Receptionist.

· Take receipt of deliveries and arrange for internal collection when appropriate.

· Assisting with various administrative tasks and duties, including using Microsoft Office and Academy student management systems to ensure the databases are always up to date.

· Support the Administration Team as required.

Other responsibilities

· To undertake as required other duties and responsibilities relevant to the job or the seniority of the post as directed by the Principal.
