The Apprentice Finance Assistant will work closely alongside the Financial Control Manager and Assistant Financial Control Manager to be responsible for a broad range of administrative work which ensures effective Purchase Ledger management and enables finance records to be maintained and payments processed in a timely and accurate manner.

The role of the finance assistant is to provide the department with full support, working with colleagues to ensure that an efficient and effective finance service is provided to all stakeholders (students, staff, parents, suppliers etc.) at the Trust

Specific Responsibilities:

Under the direction and guidance of Assistant Financial Control Manager:

  • Assist with day to day finance tasks
  • Assist with the processing of purchase invoices, checking invoices match to associated purchase orders and goods receipt notes, raising queries where necessary. Ensuring invoices are arithmetically correct, there is no duplication of payments, the correct VAT rate is applied and all discounts possible are applied. Paying careful attention to nominal coding and seeking advice and assistance where appropriate to help with this
  • Checking and reconciling supplier statements, contacting suppliers for any missing invoices
  • Assist in the annual archiving of finance records
  • Assist in ensuring that there is sufficient stationery within the office and to reorder as and when required
  • Preparing letters on the Trust’s online payment system
  • Producing simple reports from the Trust’s online payment system
  • Assisting with parent queries related to the Trust’s online payment system
  • Assist in dealing with general enquiries to the Finance office; usually telephone or through email
  • Provide general administrative support e.g. photocopying, filing, faxing, complete standard forms and respond to routine correspondence
  • Supporting the central services teams with any other reasonable tasks as requested.
  • Assist in the distribution of mail, both postal and electronic, as needed
  • Other reasonable tasks as requested

Staff Conduct:

Qualifications required

Good literacy and numeracy skills evidenced through at least 5 GCSEs (or equivalent) of Grade C/4 and above including maths and English.

Candidate requirements

Please note that anyone under the age of 18 will only work a maximum of 40 hours per week. Any role which exceeds these hours on advert will be amended accordingly to fall in line with the legislation.

This apprenticeship is work based learning therefore most of the time you will be working at the employers address. Depending on your training you will only need to attend college in Nottingham for initial assessments, enrolment and a few other rare occasions.

Training provided

  • Accountancy with AAT Level 2
  • Functional Skills Level 2 if required

Future progression

Potential progression onto level 3 once Level 2 is completed.
